PREP WORK: Before the Shoot

AGENTS AND MANAGERS

Please meet with your agents/managers before our shoot together. The only way we can guarantee pleasing them is if we know what they want before the shoot.Let them know they are free to call or email me with any suggestions.Here are some things to ask them:

What different looks would they like to see from you?
Ask for copies of their favorite headshots, please bring them to the shoot or email me

What do they like or dislike in headshots? Name off the following options:

  • Close-Up, Three Quarter, or both
  • Vertical, Horizontal, or both
  • Bright Colorful Backgrounds
  • Light Neutral Backgrounds
  • Dark Backgrounds

 

WARDROBE:

Please bring PLENTY of options. Bring at least 2 different options for each look.
Make sure your clothes have been washed, are wrinkle free, and its best if they’re on hangers.
Tops – Solid colors work best in my opinion. Layers provide interesting necklines. Bring your favorite tops and jackets. Avoid stripes, patterns, logos, All White & All Black outfits, if possible.

Scarfs should be kept very minimal and used as only as an accent.

Pants & Shoes – Since these are Headshots, you may wear whatever you want below the waist.
If you’re having trouble picking out what to wear, I recommend going to the store and buying some options. Make sure you leave the tags on and save the receipt (ask for a gift receipt and leave it in a safe place) if you decide to return them. ;-)
As a LAST RESORT: If for some reason your ultra lime green top “look” fabulous, the color can be changed in post.

OVERALL – I highly recommend going through your Representation on wardrobe options.

JEWELRY/PIERCINGS/TATTOOS

Please keep jewelry very light. Earrings are fine, so as long as they are not distracting. Studs are fine. Facial piercings should be taken off, if possible.

If you have Stretched Lobe Piercings (Dermal Punching), please leave gauges on. :)

Visible Tattoos are encouraged. Although, be prepared to hide them periodically during the shoot.

BE PREPARED

Whether your a “Pro” or just starting out, being prepared is essential, especially if this is your FIRST TIME (or a Long Time) getting a Portrait done.

Below are a few “TIPS” to help you along the way.

  1. Practice SMILING in front of a mirror. If your a person that rarely smiles, now is the perfect time to practice. Even closed mouthed smiles are great! In fact, practice smiling all day, just to get your muscles warmed up.
  2. Research some Photographs. Grab a magazine, book, catalog, website, etc. and find photos of Actors/Models. Notice there position, smile, eyes, hands, etc. Pick out a bunch you like, and practice in front of a mirror. Trust me, it will help you get an idea of what potential “Clients” are looking for, to help you land your next gig! Besides, it’s an Actor/Model’s job to do so. There’s no hidden SECRET behind it. It’s right there in plain view. So, use it to your advantage and remember to keep Practicing! :)
  3. Do some light exercise and get lots of rest prior to your shoot.
  4. Arrive as if you were going to an audition. Have a good idea of the part(s) you are trying to book (if any). Sometimes it helps to bring in SIDES or LINES from a script that will help you convey a certain intent or attitude in a photo. Ultimately: BE YOU.
  5. Avoid wearing sunglasses (if possible) before our shoot. It will make your eyes more sensitive to the light and you may squint.
  6. Groom accordingly: Trim Nails, Shower, Brush Teeth, pluck Eyebrows, etc.
  7. Chapped lips are pretty common, so please bring gloss and or lip balm (if available).
  8. Stay Hydrated. Don’t go crazy on drinking a gallon of water before arriving, but Hydration helps the overall health, moisture and tone of the skin. It also helps nervousness and tension.
  9. Finally, Come to the shoot with a positive attitude and focused on what you want instead of what you don’t want.

If you have a studio (location) provided, please keep in mind that additional costs for locations is the responsibility of the client only.

 

HAIR | MAKE-UP

I currently do not provide Hair & Make-up for these sessions.

Again, please treat each session like an audition and arrive camera ready.

LADIES: Please keep eye make-up (shadow, liner & mascara) light and natural (if possible). No Clumping Lashes.

You will have some time for touch ups and changes between looks.

It is entirely the Client’s responsibility  to provide (or hire) someone to do their hair and make-up.

WHAT TO BRING DURING THE SHOOT (if available)

  • Please make sure you lightly moisturize your face (and Body) with a gentle lotion that does not irritate your skin.
  • Use lip balm or gloss before and during the shoot.
  • Bring a Small Mirror for quick checks
  • Bring a brush/comb and a some of your personal hair products like hair spray or gel along.
  • Also a basic face powder and/or oil blotting papers for shine.
    • Note for Guys: Seriously, if your stuck looking for products, buck-up and go to Macy’s (or similar Make-up department) and ask an assistant that you need a powder for your skin tone. They will be VERY happy to help. In fact, before the Shoot and if time permitted, you could have them put it on for you – FREE! Most of them have nothing else better to do, then to be a Clerk for most of the shift. Also, be prepared to pay for some product and be forward on your budget. You may need it for an audition when the requirement of the casting is to be “CAMERA READY.” Don’t forget the lips! ;)

If you can’t round up most of this stuff, don’t stress out, everything will be fine!

Our Photo services are not limited to the listings above. We may have left some details out, however the ability to work with your needs are very flexible.

On the shoot if you have an IDEA or CONCEPT I recommend that you give it a shot!

If your a first time actor, please use this opportunity to get in front of the camera. Still or Motion Camera, start getting used to the idea.

POST-WORK


*PROOFS | SELECTIONS | DISK | RETOUCHING

PROOFS

Your on-line proofs will be emailed to you within 72 hours after the shoot for Selections.

Your images will be posted for 60 Days in it’s UNTOUCHED state.

You’ll need to pick up the disk for your Digital Negatives once all images have been processed.

FINAL SELECTIONS

There will be a fee for each additional retouched image requested. For quick availability, all final images will be sent via email. It is the Client’s responsibility to ALWAYS back-up their images. It is also the Client’s responsibility to contact me for assistance on all matters.

PRINTING

RETOUCHING

NEED MORE HI-RES IMAGES?

$30 for each additional image requested.

Please refer to on-line/hard/digital proofs and leave comments on touch-ups for best results.

Work will begin once payment is made. Please allow 48hrs for completion.

If you have any specific notes and/or concerns on the retouch (ie;, Birth-marks, Scars, Dry Skin etc.) please mention these concerns prior to retouching. Retouching takes a considerable amount of time, so the more details the better. The better the quality of the image, the better the retouch.

  • Basic Retouching is included with each Final Selection(s) based on specific packages purchased.
  • It is BEST if a Client gives the Photographer a Timeline of completion.

Additional Retouches must be evaluated by the photographer first before any work is started, this is to insure the best possible quality image to work from, for example; Blurry eyes being the most common.

Payments prior to retouch evaluation does not guarantee prompt service.

If a Client requests Photographer to randomly choose an image for retouching, then that will be treated as a selection, regardless if the selection does not suit the client’s expectations. The Photographer will choose, based on his/her opinion, of what image is suitable for selection in the best way possible.

All retouch payments are final, so PLEASE wait for photographer’s approval prior to payments. The more feedback the better the retouch.

YOUR DISK

FINALS & PROOFS

A CD | DVD with your high resolution print-ready finals and proofs are included with all sessions.

All images taken (except for rejected images; Closed Eyes, Blurred Images, Movements, etc) will be included on the disc.

If you lose your disc or simply don’t pick it up before I archive them, there will be a setup fee ($10) for a new disk.

Either call or email me and let me know when you plan on stopping by.

Please make sure you have heard back from me and that I have confirmed I know you’re coming before you swing by.

Sometimes I will make a trip to your Agency and drop them off.

It is the Clients responsibility to pick the disk up. You will have 60 days to pick up your disc before I archive them.

If you need me to mail it to you, there will be a $5 fee for shipping & time. Shipping payment must be made by the client first before I package the Disk.

 

The photographer is not responsible for the loss, theft, corruption or damage of the Master DISK of Images once they are in possession of the client, the same holds true with shipping errors. It is the Client’s responsibility to back-up ALL images including the Finals in whatever means possible.

 


POLICIES (please read carefully)

APPOINTMENT FORM

The Appointment form is treated as a ‘Booking’ and the Client is responsible to Hold to the booking by clicking on the check-mark of the appointment form.The Client is Responsible for contacting the Photographer, if, for whatever reason, he/she does not follow up with client right away. In the event the Photographer DO NOT contact the Client (via Phone, text, word of mouth, written, Email and or various social networking sites (ie; Facebook, Twitter, etc.) or any current & future communication technologies) AFTER the scheduled appointment, only then the client is not obligated to pay the Photographer any fees.  The Client is responsible to CANCEL any bookings before 24hrs of the scheduled booked time, failure to do so will result in penalties and possible collections. If the Client fails to communicate with the Photographer completely, and/or a “No Show,” the Client will be charged full price (100%) of actual booking. To a avoid these penalties, please call the photographer immediately and opt for a reschedule. If, for whatever reason, the “No Show” was an Emergency, please state why and it better be really good.

PAYMENTS

Full Payment on the day of the shoot.

Payments can be made at anytime once an appointment has been made.

If payments for the session cannot be made on the day of the shoot, please inform me via email prior to the appointment time.

Additional fees apply when Canceling within 24hrs.

a standard PayPal fee of 2.9%+$0.30 will apply with each transaction.

Rescheduling, Cancellations, & Reshoots

PORTLAND is known for it’s Rainy Seasons, please don’t be discouraged about the way the lighting looks. Overcast skies make for very dramatic shots. Most of  all shots taken are under Overcast and Rainy conditions. There are locations the Photographer have to make sure that the conditions are right for photography. Exceptions would be Severe Snow, Heavy Showers with Wind and Natural Disasters. The Client should hold their appointment until the day of the shoot and await the Photographers decision to make the call to Cancel and/or Reschedule for another day, when it comes to “The Weather.”

You may reschedule before 24hrs ONCE with no additional fees (unless, of course, it was the decision of the Photographer.)

CANCELLATIONS should be made in 24 hours to avoid a cancellation fee

LAST MINUTE CANCELLATIONS (within 8 hours) will be billed 50% of the total package price. It’s best to reschedule to avoid a fee.

There will be a $35 service fee for Bounced Checks.

ALL FEES can be paid via Cash, Check, Money Order & PayPal

If no payment is made in 7 days (including weekends and holidays) an invoice will be sent to the Client and/or their Representation(s) for collection.

It is the Client’s responsibility to contact the Photographer immediately before cancellation. NO EXCEPTIONS ( Unless it’s an Emergency).  Their will be a 10 minute grace period after the Deadline.

RESHOOTS & REFUNDS

RESHOOTS are ALWAYS ENCOURAGED!

As stated above: Please make sure you know what your representation(if any) wants.

  • If I don’t know what they like before the shoot, I cannot make sure they’re happy.
  • Reshoots and/or Refunds must be requested within 1 week after the shoot. Once you have received your retouched images and/or once your images have been used (ie. FACEBOOK, TWITTER, LINKEDIN, MYSPACE or ANY FORM of Visual Communications available, you will not be able to get a refund.
  • Additionally, once the Client have received all images on Disk, the Client will not be able to get a refund.

 

IMAGE RIGHTS AND USEAGE

All images taken are by copyright law, sole property of Deneb Catalan the Photographer (All images may be used any time by the Photographer for all forms of Visual Communications & Marketing). All usage rights are granted to the “Client” to do as they wish (ie, MARKETING, BRANDING, SOCIAL NETWORK, ETC). Image Exclusivity (the ability to purchase the images with EXCLUSIVE rights, meaning the Photographer have transferred ALL ownership of the Images to the Client and Photographer can no longer use the images AFTER the agreement have been determined) will require an Exclusive Pay-Out. The Pay Out should be discussed by the Client and Photographer. The Final cost is negotiable, however, the Photographer has the right for the final Decision of costs. The Photographer is not responsible for the loss, theft, corruption or damage of the Master DISK of Images once they are in possession of the client. It is the Client’s responsibility to back-up ALL images including the Finals in whatever means possible.
